Job Summary

NUGENT carry out large, complex MEP engineering project works in GB, NI & ROI with a workforce of 100 direct employees and 300 sub-contractors.

The role:

NUGENT are seeking to recruit an experienced Commercial Department Administrator.

This challenging roll will be suited to an experienced candidate with a desire to provide excellent administration-based support to our busy commercial department. This department is responsible for the estimating and commercial activities of NUGENT, which currently includes Major Contracts, Specialist Works, and Facilities management.  While working in a technical environment, the core duties revolve around the effective and efficient administration of our systems, processes, document, and data controls. This role is likely to be best suited to someone from an administration background with excellent communication skills and experience in administration and assisting a team of people. A disciplined attention to detail, a team player, and the ability to manage time against multiple ongoing tasks are the basic attributes of any individual successfully filling and enjoying this position.

This role is based in our Pomeroy Office but may require travel to our other offices from time to time.

Key Responsibilities and Duties –

Objectives of this Role:

  • Provide all necessary administration, document, and data control for our busy commercial team.
  • Own, operate, and seek to continually improve / innovate all the administration processes, procedures, and systems within the commercial department.
  • Own the printing, filing and collation of all documentation for the commercial department.
  • Assist in preparation of external communication including bid and commercial information.
  • Manage and record communication coming into the commercial department.
  • Ensure that the NUGENT values are represented in all delivery area communications and actions.

Day to Day Role / Responsibilities:

  • Check, acknowledge and log all tender documents, clarifications, amendments, plus control tender document movements throughout the business.
  • Add all tenders along with key information to Tender Workload programme.
  • Organise copy of tender documents, clarifications, and amendments for use by other appropriate stakeholders. Ensure any tender summaries or Bills of Quantities and are also provided.
  • Prepare the necessary documentation for site visits by assigned contracts manager / supervisor/ estimator.
  • Assist estimators in identifying and communicating with sub-contractors and suppliers to issue enquiry packages
  • Prepare enquiry packages and dispatch to sub-contractors and suppliers.
  • Follow up supplier/sub-contractor phone calls and maintain a “live” progress schedule report.
  • Ensure sub-contractor and supplier quotations are received and moved into the appropriate quotation review folder. Hand-over and presentation of returned and completed tender bid enquiry package to the estimator.
  • Attend tender launch and mid tender review meetings, brief team on tender enquiry status and supplier / sub-contractor feedback, take and issue minutes.
  • Ensure all information and arrangements are made for tender adjudication meeting. Attend adjudication meetings as directed.
  • Maintain central Cloud Based tender filing system.
  • Scheduling of quantities from drawings / specifications and inputting same to the bid software
  • Measure and record the internal floor areas of each building being tendered.
  • Continual migration of required design information / cost data from bid folders and software into an overall database.
  • On successful tenders, prepare files in conjunction with the estimator for hand- over meeting as directed by the estimator.

Necessary Skills and Qualifications

  • Experience operating in a busy office environment, technical office experience would be advantageous.
  • Must enjoy ‘multi-tasking’ and meeting challenging time constraints.
  • Expert in use of the Microsoft Office suite of products, especially Excel and Access. Experience of training / ongoing support and mentoring of others in the use of these software packages would be advantageous.
  • Can demonstrate the set up and use of Microsoft Access for automatic collation of ‘day-by-day’ information via various Excel / CSV sources.
  • Can operate CAD Software to print drawings as a minimum.
  • Full use of AutoCAD, and Microsoft Project Programming, Microsoft Visio would be advantageous.
  • Can demonstrate use and experience in delivering innovation with Cloud based filing, record keeping, archiving and rapid recall of information when requested.
  • Excellent communication skills, through written, verbal and electronic formats.
  • Excellent personal organisation, time management, enthusiasm for challenge / continual improvement and customer focused.
